Kent Space provides flexible office and storage space for a variety of businesses. We have a number of office clients on site and offer short and long term storage solutions for both domestic and business clients.
We are looking for someone to join our Chatham branch as an Office Administrator.
This exciting role will support the Manager and Assistant Manager with day to day tasks as well as development opportunities to assist other areas of the business.
The working hours are 40 hours per week 8.30am-5.30pm with some flexibility required once trained to cover 8am-5pm on Mondays and holiday cover for the Assistant Manager.
Salary up to £24,000 per annum
The role will include but is not limited to:
· Helping with sales calls, storage tours and setting up contracts
· Reception cover during lunch times, holiday and sickness
· Answering overflow phone calls
· Managing an email inbox
· Processing payments on the system and handling cash payments
· Greeting visitors in Reception and directing them accordingly
· Contacting customers who have had parcel deliveries and sorting out incoming mail
· Arranging outgoing mail for mail forwarding customers
· General admin duties such as memos, signage, printing requests from clients, assisting Management with other ad hoc requests
· Creating invoices for rental and additional services
· Generating letters to clients as and when required
· Arranging catering for meeting rooms and networking events when required, assisting with setting up the meetings
· Placing stationary orders and performing stock checks
· Making up packs for new storage move ins
· Checking accounts have all contact information required and insurance cover is up to date
· Sending Google review requests to new customers
· Ensuring licence agreement files are up to date
· Checking COSHH data sheets are up to date for cleaning products
· Counting petty cash and keeping record up to date
· Assisting with direct debit process

Person Specification
- Someone who is a team player - flexible, organised, and happy to help with team tasks
- Strong customer service experience - A good telephone manner is essential as the role includes dealing with visitors and current clients
- Being able to prioritise tasks in busy periods and use initiative
- Sales experience and being able to show empathy with clients in difficult situations
- Someone with an open mind to help other departments when needed
- Someone who is looking to develop their skills and the role
- Competency with Word and basic Excel experience with formulas ideal but not essential
