Office Administrator – £22,000- £24,000 – Bristol (BS15)/ Hybrid

The Role

Do you possess excellent organisational and communication skills? Are you computer literate and proficient in managing spreadsheet data? If so, we have an exciting opportunity for you.

We are an established pension financial advice firm, looking to appoint a conscientious Office Administrator to our growing team. The successful candidate will play a pivotal role in our pension administration team, contributing to the efficient processing of client and company information.

Working hours will be 9am-5pm Tuesday and Thursday in the office, and 9am-5pm Monday, Wednesday and Friday from home.

Key Responsibilities:

  • Assisting clients (individual and corporate) on the telephone or by email and updating relevant database systems.
  • Assisting corporate clients with administering their pension scheme, including:
  • managing monthly pension payment submissions and new joiners
  • Managing auto-enrolment and re-enrolment processes, including:
  • liaison with corporate clients, providing support as required, collation and checking of data, confirming Declarations and Re-Declarations with The Pension Regulator
  • Processing letters of authorities, accurately updating the Intelligent Office data management system with policy data, chasing for outstanding information.
  • Adding new corporate and individual clients into the IO database.
  • Daily administrative tasks including collecting and sorting the post, scanning correspondence to IO database.
  • Individual workflow and task delivery.
  • Respond to clients and internal queries in a timely manner.
  • Produce and maintain accurate and complete documentation/correspondence in a compliant manner.
  • Managing group email inbox and responding/forwarding emails in a timely manner.
  • Ad hoc project work as required.
  • Supporting Senior Client Administrators, Client Services Managers and Advisers.

  • No specific qualifications are required, though a general understanding of pensions and the financial services industry is advantageous.
  • Proficiency in managing spreadsheet data, uploading it to provider websites and our database system.
  • Exceptional communication skills, both written and verbal.
  • A keen eye for detail and strong organizational capabilities.
  • The ability to handle phone calls with professionalism and effectively direct them.
  • A proactive and adaptable approach to tasks and challenges, coupled with a strong work ethic.
