Job Summary
We are seeking an Administrative Assistant who will play a crucial role in the smooth running of our office. You will be the first point of contact for our clients, reflecting our company’s professionalism and dedication to service. Your responsibilities will include managing incoming calls, scheduling appointments, handling invoicing, and maintaining organised records.
Key Responsibilities:
- Answering incoming calls in a courteous and professional manner, providing a positive first impression.
- Scheduling and booking customer appointments with precision and efficiency.
- Handling invoicing and financial documentation, ensuring accuracy and timely processing.
- Maintaining an organised system for paperwork and digital records, ensuring all documents are accurately filed and easily retrievable.
- Providing comprehensive administrative support across various tasks, including email correspondence, data entry, and office supply maintenance.
- Assisting with day-to-day administrative tasks as required, supporting the overall operational efficiency of our business.
Qualifications:
- Proven experience in an administrative role, ideally within a service-oriented environment.
- Exceptional communication skills, both verbal and written, with a polite and professional manner.
- Strong organisational skills, with the ability to multitask effectively and meet tight deadlines.
- Proficient in MS Office (Word, Excel, Outlook) and familiar with invoicing software.
- A proactive team player with a positive attitude, willing to support a range of tasks to assist the team.
- GCSEs or equivalent required; further education or qualifications in Business Administration or a related field are advantageous.
