As the Administration Manager at ICECO UK, you will play a critical role as the constant presence in our Chipping Campden office, ensuring that operations run smoothly. You will be responsible for taking on various administrative duties currently handled by the Managing Director, allowing them to focus on strategic initiatives. Your responsibilities will include managing payroll, purchase ledgers, delivery notes, and invoicing using QuickBooks. In addition, you will provide business calendar management and serve in a personal assistant (PA) capacity, reminding other employees of their commitments.
Key Responsibilities:
Be the constant presence in the Chipping Campden office, overseeing and managing administrative functions.
Assume responsibility for payroll processing, purchase ledger maintenance, handling delivery notes, and invoicing using QuickBooks.
Provide support to employees and clients with practical matters, including travel arrangements, welfare issues, and organizing team-building exercises.
Manage and maintain the business calendar, scheduling appointments, meetings, and events.
Serve in a personal assistant (PA) role, reminding other employees of their commitments and ensuring efficient time management.
Streamline and improve administrative processes for greater efficiency.
Collaborate with the Managing Director to support their strategic initiatives by taking on administrative tasks.
Ensure that office operations run smoothly, maintaining a welcoming and organized environment.
Handle and maintain confidential information with the utmost discretion.
Qualifications not required.
Good written and spoken English.
Chinese language ability preferred but not essential.
Flexibility on working time (Early start/early finish if preferred).
Proven experience in an administrative role, with a background in office management.
Strong organizational and time management skills.
Excellent attention to detail and accuracy in administrative tasks, including experience with QuickBooks.
Proficiency in relevant software applications for payroll, invoicing, and general office management.
Excellent communication and interpersonal skills.
Ability to handle confidential information with discretion.
Strong problem-solving and multitasking abilities.
Team player with a can-do attitude.
Proficiency in Mandarin or a strong desire to learn some Mandarin.
Preference for candidates to live locally to Chipping Campden.
Must hold a driving license qualified to drive in England.
