Your role as an Office Administrator will be reporting to the Area Director, and will be responsible for a wide range of administrational tasks. As an Office Administrator of a professional service company, you must have strong time management and organisational skills alongside excellent relationship management. This is a varied role, and will be suited to someone who has a hands on approach and enjoys working in a fast paced evolving environment.
Key Responsibilities
• Answering phone calls
• Chasing clients for books and records
• Scanning & filing
• Involve with onboarding process using creditSafe and fee quoting software like Ignition, GoProposal, Pandadoc.
• Maintain clients information in line with Xeinadin guideline
• Finalising and sending out Accounts and Personal Tax Packs to clients for approval
• Helping Hub Credit Controller with debtors queries
• Finalising invoices / WIP Write out
• Allocating of Disbursements to clients
• Takings payments over the phone
• Paying-in any cheques received from clients
• Maintaining and reconciling office petty cash
• Attending clients coming in the office
• Booking appointments with clients
• Organise safe return of clients books and records
• Order Stationeries
• Dealing with posts
Key Requirements
• Proven experience in administration and a fast-paced environment.
• Very high level of attention to detail and accuracy.
• Confident communicator with personnel at all levels within the business, both written and verbal.
• Excellent time management skills - handling multiple and varied deadlines concurrently.
• Organised, proactive, reliable and self-motivated.
• Positive attitude towards process changes as well as IT
• Be able to work independently as well as part of a team
• Must be able to meet administrative deadlines
