Office Administrator/Manager with Diary Management

We have partnered with a boutique Sports Management agency who are based in the West End in London and are currently embarking on one of their busiest periods in the football season. As a result, and in accordance with company growth plans, my client is seeking a seasoned and enthusiastic Office Professional to provide all round support to the Group CEO and other senior members of the team.
The Role:
This role will be based in the office, working Monday – Friday 9-5pm. Unfortunately, this role does not involve remote working and is 100% office based.
Successful candidates will become a key point of contact among executives, employees, clients and external partners, and will be crucial in fostering effective communication. You will have the opportunity to cultivate relationships with a diverse spectrum of professionals. Your involvement in this role will contribute significantly to the overall success and cohesion of the organisation.
Essential Duties and Responsibilities
· Meticulously and professionally organise multiple calendars successively, arranging daily meetings and appointments, as well as manage commitments across various business areas, ensuring optimal attendance by key stakeholders
· Facilitate smooth orchestration of internal and external meetings, embodying professionalism at all times to both external partners and internal employees
· Taking detailed minutes during meetings to capture crucial discussions and actionable information
· Preparing presentations as required and demonstrating precision in organising high-stakes meetings, crafting and circulating invites to co-ordinating pertinent documents.
· Executing travel arrangements seamlessly, preparing detailed itineraries for the Group Director, senior executives and the wider business
· Organising off-site senior meetings and away days with a professional touch, collaborating effectively with facilities for optimal office management support
· Demonstrating financial acumen by handling the collation and processing of invoices, expenses and bank statements.
Skills & Experience Required
· Possess a solutions-oriented mindset
· Previous Office Management and administration experience at Executive level in a fast-moving environment
· Excellent organisation and problem-solving skills
· Proficient use of Microsoft Outlook, Teams, Word, Excel and Keynote is essential
· Outstanding level of verbal and written communication
· Results-oriented & passionate about helping businesses grow
