- Answering phone calls and answering general enquiries
- Booking in work (if required)
- Quoting for domestic waste jobs (if required)
- Daily use of the Dsposal system
- Invoicing/Payroll
- Scanning and filing of all completed job paperwork
- Completing the diesel sheets and ordering if necessary
- Fielding of purchase orders to the relevant person
- Chasing of customer payments (if required)
- Ensure invoices are correctly entered onto sage
- Confirming disposal prices
- Working in line with business processes to ensure compliance with ISO9001:2015 standards e.g. non-compliance logs, complaints and feedback, quality objectives with management, internal auditing, management reviews
- Ensuring that customer complaints and feedback, are entered onto the Customer Feedback Log and passed onto appropriate manager (if required)
- Assist with confirming supplier invoices
- Respond swiftly to emails on shared company inbox
- Scanning of completed RAMS documentation to SHEQ Manager, and shredding of documentation
- When asked, ensure return to work forms are completed by employees on their first day back at work (if required)
- Ensuring the Supplier spreadsheet is kept up to date
- Requesting copies of supplier information i.e. insurances, ISO certifications etc
- Ensure that all supplier documentation are filed in the correct ESC Documents supplier folder and out of date documentation moved to the suppliers ‘historical’ folders as required
- Completion of client subcontractor pre-qualification questionnaires with requested evidence.
- Booking of training (if requested)
- Sourcing of prices for PPE, office supplies etc (if requested)
- Ensuring that ESC documents Customer folders contain the correct and required paperwork e.g. completed application forms, booking forms etc
- Any further Office Assistant related tasks as required
