Position Summary


The Health and Safety / Office Assistant will be part of Descartes’ EMEA Human Resources Team. You will work closely with the HR Manager to provide health and safety and office support to approximately 130 employees in the UK and Ireland, across multiple sites, with many of these working predominantly from home. The Health and Safety / Office Assistant will coordinate all health and safety and facilities activities, working in conjunction with a third-party Health and Safety Consultant. This is a fixed-term contract for six months and is offered on a part-time basis for 24 hours per week (working days are flexible). This position is based in our Chippenham office, but the successful candidate is given the flexibility to work from home also, owing to our hybrid working policy.


Key Responsibilities

  • Act as the first point of contact for general health and safety and facilities queries.
  • Provide health and safety and office support to achieve excellent standards across the business.
  • Organise proactive maintenance of office facilities in line with the maintenance schedule.
  • Arrange external training for First Aiders and Fire Marshals.
  • Monitor and maintain the third-party health and safety portal.
  • Ensure that employees are completing any risk assessments or training assigned to them.
  • Monitor fire alarm testing and evacuation drills.
  • Maintain the COSHH register and associated documentation.
  • Ensure that accidents and incidents are reported in a timely manner.
  • Work in conjunction with the third-party Health and Safety Consultant and the HR Manager to resolve more complex queries.
  • Office administration duties such as handling incoming posts and ordering stationery.
  • Create professional and accurate correspondence.
  • Other health and safety and facilities-related activities as may be required on an ad hoc basis.

Knowledge and Skills
  • Previous experience in health and safety and/or facilities administration is required.
  • Knowledge of MS Office (in particular Teams, Outlook, Word, and Excel).
  • Experience in the use of health and safety management systems is advantageous.
  • Excellent written, verbal, and interpersonal skills.
  • Able to work well under pressure with good organisational skills and able to continuously demonstrate high standards of internal customer service.
  • Good problem-solving skills.
  • Able to multi-task several pieces of work.
  • High attention to detail is essential.
