The primary objective of the position involves proactive collaboration with various teams to establish an efficient and hospitable hybrid work environment at our recently established Head Office in Camden. This pivotal role focuses on maintaining the seamless operation of the Head Office for all our staff, volunteers, and visitors.
The responsibilities encompass a diverse array of tasks, including overseeing Health and Safety compliance, managing the reservation of meeting rooms and desks, handling office administration, and providing supervision for a Receptionist/Administrator.
Main Responsibilities
- Serve as a central information hub within the organization, acting as the primary contact for inquiries related to office and building matters. Address and resolve issues or urgent situations promptly.
- Oversee the maintenance of the Head Office premises and equipment, including onsite storage and lockers. Collaborate with the property management company, contractors, and team members as necessary. Manage the allocation and utilization of onsite storage and lockers.
- Conduct annual and ad hoc assessments of supplies, such as office accessories, furniture, and stationery, to ensure cost-effective provision for the organization.
- Proactively administer meeting room and desk booking systems for the Head Office and satellite offices, promoting an efficient hybrid working culture.
- Coordinate with the Fundraising team regarding deliveries and storage of donated goods, maintaining timely communication with relevant services.
- Maintain a secure and hygienic office environment in compliance with current Health and Safety regulations, including the upkeep of fire-fighting equipment and first aid kits.
- Conduct health and safety orientations for new staff at Head Office as required, ensuring that all employees, including those at other locations, are familiar with emergency escape procedures.
- Fulfill the role of designated Fire Marshal and First Aider for Head Office.
Person Specification
- Proven track record in delivering office management and administrative support in a comparable dynamic office setting, with an added advantage of familiarity with domestic violence awareness.
- Direct involvement in addressing health and safety concerns within office and/or accommodation settings, backed by a relevant Health & Safety qualification.
- Demonstrated experience in collaborative work within a multi-disciplinary team, showcasing effective interpersonal and group work skills.
- Knowledge of meeting room and desk booking systems, or equivalent resource booking systems.
- Experience within a similar role in non-profit industry (essential)
