Real Estate Design & Development Ltd (REDD) is a privately owned prime real estate company, with offices in both London and Monaco.
REDD is focused on the investment, development and management of prime central London commercial and residential property. Its focus is on property in W1 and the inner SW postcodes, comprising of Mayfair, St James’s, Belgravia, Knightsbridge, Kensington and Chelsea.
REDD acquires property for investment and redevelopment purposes. It also has a property management element to the business. It aims to offer a high quality and wholistic approach to property across its disciplines, with quality of product and customer satisfaction at its core.
ROLE
You will report to the Head of Finance and be responsible for the day-to-day management of the office, act as team PA and provide finance admin support.
This is an office based role 9am to 5pm Monday to Friday.
You will be the first point of contact for all visitors and phone calls and must handle these professionally and accurately.
You will be expected to think proactively and be able to pick-up tasks given to you with limited instruction or management. This will require self-motivation and lateral thinking.
You are to be presentable and courteous at all times to visitors making sure their needs are met and their experience of REDD is a positive one.
You are to assist the team in their day-to-day activities as much as possible, including taking tasks off them proactively even when not requested. You will also be required to run ad hoc tasks both in and out of the office and must accommodate this as far as is reasonably possible.
Provide admin support to the finance function and assist with invoice processing and reporting.
RESPONSIBILITICES
Office Manager responsibilities
Ensure that the customers/investors/clients are prioritised at all times
Answering door and meeting and greeting all visitors and deliveries
Managing meeting rooms, including diary, refreshments, clearing and tidying
Answering and managing calls and messages
Managing the kitchen area, including organising weekly food deliveries, top-ups as required, making sure kitchen is fully stocked, clean and tidy at all times.
Managing office cleaners, including quality control
Ensure the office looks presentable at all times
Ensure office is fully equipped with supplies, including stationary and printing materials
Manage external suppliers including maintenance, printing and IT companies
Point of contact for office managing agent
Team Personal Assistant Responsibilities
Be proactive and engaging with team at all times, taking things off them where you know you can help
Assist in organising team members diaries when requested
Coordinate and schedule meetings as requested
Assist in coordinating team travel arrangements where required
Arrange networking events, including breakfasts, lunches, dinners and drinks parties
Act as general office runner to assist in tasks such as providing access to properties, delivering keys, arranging documents to be printed etc
Finance Admin Responsibilities
Manage Accounts email inbox and allocate purchase invoices to correct project/company
Process invoices onto accounting system and other systems as needed
Process expenses and credit card receipts onto accounting system
Pay invoices on accounting system
Assist with monthly project reports
Other ad hoc finance admin as needed
SKILLS/KNOWLEDGE
Intermediate knowledge of Microsoft Programmes (Word, Excel, PowerPoint, Office)
Excellent verbal and interpersonal communication skills
Excellent time management skills
Ability to build meaningful rapport at all levels
