Responsibilities:
Administrative Management:
Oversee daily office operations and ensure efficient work-flow.
Manage correspondence, emails, and phone calls, directing inquiries to the appropriate departments.
Maintain organised filing systems and document control procedures.
Coordinate meetings and appointments, both internal and external.
Financial Administration:
Handle accounts payable and receivable, including invoice processing.
Monitor and reconcile expenses, ensuring accurate financial records.
Collaborate with the finance team to prepare financial reports as needed.
Human Resources Support:
Assist in recruitment processes, including posting job ads and coordinating interviews.
Maintain employee records and ensure compliance with HR policies.
Coordinate employee on-boarding and training programs.
Project Support:
Work closely with project managers to track project timeliness and milestones.
Assist in the preparation and submission of project-related documents.
Collaborate with the construction team to ensure seamless communication and coordination.
Office Efficiency and Supplies:
Manage office supplies and equipment, ensuring availability and functionality.
Identify opportunities to improve office efficiency and implement streamlined processes.
Address office maintenance and repair needs promptly.
Qualifications:
Proven experience as an Office Manager, preferably in the construction industry.
Strong organisational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite and office management software.
Familiarity with construction project management processes is a plus.
Education and Experience:
Degree in Business Administration, Management, or a related field.
Minimum of 6 years of relevant experience in office management.
