Office Manager/ Receptionist
Salary - 35k
Location - London Mayfair
Monday-Friday - 9:00am - 5:00pm (Full time Office role)
12 Month fix term contract
My client is growing and is a very well-established office in London who is looking for an Office Manager/Receptionist who will greet visitors, make office supply arrangements, schedule meetings and appointments and coordinate meeting room bookings and support their Office Managing Partner.
As you will be the first face their clients/customers see, you must be extremely personable and professional and well presented.
They want someone who is experienced and ready to hit the ground running straight away. You need to be able to handle a busy schedule of daily operations that will help the office run as smoothly as possible.
You will be responsible for office Health and Fire Safety as well as First Aider and Fire Warden along with liaising with a variety of different people and will be expected to maintain strong relationships with the building management team and external contractors.
Administration Responsibilities that will be expected of you are as follows;
- Prepare documents - amending, scanning, printing and binding
- Process expenses
- Book hotel and travel arrangements
- Office and Partner/Director diary management
- Client billing
- Electronic payments and bank verifying
- Docusign administration
- Open and close new clients and matters
- Compliance - Updating fee estimates, conflict checks, solicitor checks, preparing client contracts
- Time and fund transfers
- Manage the filing/archiving of deeds
- Collating and preparing reports and PowerPoint presentations
- Monthly client billing, debt chasing, reports & schedules
