The leading provider of highly customisable execution management systems used by some of the largest investment banks and hedge funds in the world is now looking for an Office Manager to join their team in London on a full-time basis.
This role requires the person to work fully in their City of London office (5 days a week).
About the Company
The company is a global leader in high-performance multi-asset execution management and order management systems for equities, fixed income, foreign exchange, futures, and options.
Key Responsibilities:
Maintain an efficient reception with a friendly welcome for all staff and visitors
Manage the day-to-day running and operation of the London office, liaising with the building management company
Manage all maintenance and equipment contracts for the office
Oversee the travel management system Egencia and Uber account, and arrange any travel that falls outside of this
Provide administrative support to the HR department, MD and other senior members of staff as required
Plan and oversee all company-related events, including Summer parties, Christmas parties, monthly office drinks, monthly events, charity activities etc
Sort and distribute incoming and outgoing posts, and organise couriers when required
Liaise with the building management with regard to any issue
Overseeing Health & Safety, including fire procedures, risk assessments, first aiders, PAT testing, etc., and relevant policies
Responsible for kitchen supplies and weekly employee lunches
Maintain office supplies inventory by checking stock and ordering new supplies as needed.
Oversee the kitchen and common areas and ensure they are kept clean, tidy and stocked, reporting any equipment issues to the suppliers / contractors for repair
Provide assistance as required to other members of the HR team
Required Skills:
Previous relevant experience
Self-motivated and able to manage, plan and prioritise your own workload
PC literate with a good working knowledge of MS Windows, Word, Excel, PowerPoint and Outlook
Strong English language communication - oral and written
