Our client based in Central London is looking for an experienced Office Manager/PA to run a busy property sales office and manage a very demanding Managing Director's workload.
Key Responsibilities:
- Monitoring and managing the Managing Director's diary and mailbox; responding to and dealing with emails (non-transactional) on the Managing Director's behalf leading to complete management of mailbox
- Following up on emails and calls for the Managing Director
- Writing emails/letters on behalf of the Managing Director
- Arranging both internal and external meetings, accompanying where necessary to take minutes
- Updating meeting notes both internal and external (Managing Director's meetings) and team meetings)
- Maintaining/updating internal databases using a range of software(including Office365 and SharePoint)
- Filing (electronic and hard copy)
- Recording office expenditure and dealing with payments and record keeping of invoices and office accounts on XERO software and internal spreadsheets
- Organisation of the office layout and arranging maintenance of office equipment
- Maintaining the condition of the office and arranging necessary repairs
- Maintaining stationery supplies
- Making travel arrangements when necessary
- Dealing with and maintaining good relationships with all suppliers
- Overseeing office IT matters
- Dealing with HR matters, including but not limited to:
- Overseeing the recruitment and on-boarding of new staff
- Dealing with staff attendance/absence
- Processing payroll,expenses and commission payments
- Assisting the Managing Director with staff appraisals and general staff conduct
- Review/updating health and safety policies
- Checking data protection laws are being adhered to in relationto the storage of data and reviewing/updating policies
- Overseeing the maintenance of the company website and ensuring it is kept updated
- Updating LinkedIn/social media platforms as and when required
- Undertaking ad hoc projects as required
- Assisting with the Managing Director's personal matters/companies
