We are working closely alongside a growing local business who as a result of continued expansion are keen to add an office administrator / PA to the team. This is an exciting opportunity where you can add real value to a business as well as make a genuine difference day to day.
The role is varied and diverse with no two days the same, your main responsibilities will include:
- Perform various administrative tasks to support the smooth operation of the office
- Answer and direct phone calls in a professional and courteous manner
- Greet and assist visitors, ensuring they feel welcome and attended to
- Maintain office supplies and equipment, ensuring they are well-stocked and in good working condition
- Manage incoming and outgoing mail, packages, and deliveries
- Schedule appointments and maintain calendars for staff members
- Assist with organizing meetings, conferences, and events
- Prepare and distribute memos, emails, reports, and other documents as needed
- Conduct data entry and maintain accurate records in databases or spreadsheets
- Assist with basic bookkeeping tasks using QuickBooks or similar software
- Perform general clerical duties such as filing, photocopying, and scanning documents
Experience:
- Proven experience as an office administrator or in a similar administrative role
- Proficient in computer skills, including knowledge of Google Suite (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint)
- Strong organisational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and communication skills, both verbal and written
- Attention to detail and accuracy in data entry and record keeping
- Ability to type accurately and efficiently
- Ability to handle sensitive information with confidentiality
- Strong problem-solving skills and ability to work independently or as part of a team
