An experienced Facilities/Office Service Executive is required join a leading Intellectual Property firm based in the heart of London. The role of the Office Services Executive is to support the Office Services Manager in managing all aspects of the office including facilities, general office service provision to the business and front of house service.
You must have previous facilities management experience from either a legal or professional services background.
- Hours – 9.30am-5.30pm with flexibility required
- Salary - Competitive DOE
Duties include:
- Day to day liaison with the building management and maintenance service provider to resolve premises issues as appropriate
- Supervise the Office Services Assistant in all aspects of their role, keeping the Office Services Manager informed as appropriate
- Ensure front of house is fully resourced as appropriate, providing a high-quality service to visitors and employees
- Management and operation of all matters relating to archived files: storage, retrieval and destruction
- Manage the staff induction process; creating passes and conducting workstation assessments (training will be provided)
- Conducting office tours and health and safety training for new employees and temporary staff
- To fulfil the role of fire officer for the firm for which training will be provided for
- Train new fire wardens, managing the evacuation process, update and communicate changes to procedures
- First Aider (training will be provided)
- Assist the Office Services Manager in planning and organising office space, ordering furniture and co-ordinating moves.
- Knowledge of the business continuity plan, emergency contact system and procedures
- Day to day responsibility for all building management matters related to GJE, following the processes and using the appropriate systems that have been put in place
