Job Description
We’re looking for a capable, dynamic, and agile office manager for our lively, creative, and busy office. We need someone with excellent customer service and time keeping skills with the ability to perform well under pressure, servicing a wide range of stakeholders. An enthusiastic ‘can-do’ attitude is a must have, as well as being highly organised in managing high volumes of day-to-day tasks and projects. The Office Manager will report directly to the Head of Facilities and in addition to managing the Guest Services Team will also play an active role in supporting the Building Management, IT & Telecoms, Health & Safety and Special Projects business functions.
Office Management
You will oversee day-to-day office administrative operations and facilities inspections, working closely with the wider facilities team and our cleaning and waste management partners to ensure the facilities are always kept to a high standard. You will also coordinate office activities and operations, securing efficiency and adherence to company policies, and produce progress reports to inform strategic decisions on the development of the department.
Front Desk
Responsible for the effective and efficient management of the Front Desk and TDVL Office, it’s systems & processes. Responding efficiently to all internal requests and providing administrative support within tight deadlines. You will have oversight of all administrative duties in the office to ensure smooth operations.
Tobacco Dock Workspaces
Support the management of TD Workspaces operations from point of enquiry through to contracting and subsequent onsite operational management, building strong tenant rapport and establishing yourself as the ‘go to’ point of contact.
Partners, Suppliers & Contractors
Support with the procurement of products and services to maintain office operations and manage suppliers and contractors whilst working onsite, ensuring adherence to TDVL policies and procedures.
IT & Telecoms
Responsible for ensuring that software systems are kept up to date with relevant data and compiling reports for senior management as required. You will act as liaison between TDVL & our third-party IT Support Services Partner to ensure systems are managed effectively. A working knowledge of Salesforce is preferred.
Finance Administration
Responsible for the management of purchase orders, invoicing & processing company credit card receipts and providing administrative support for departmental and special project budgets.
