This is an exciting opportunity for a Operations and Workplace Coordinator to join a robotics and AI organisation!
You will be the focal point for the smooth running of all office functions including facilities, stationary and Workplace engagement. You will champion the culture of inclusivity and enjoyment managing events and socials, health and safety, team building as well as support with travel coordination for the leadership team.
OPERATIONS AND WORKPLACE COORDINATOR ROLE:
- Managing and administering customer databases, contracts, proposals, negotiations, and billing via our CRM system
- Processing and managing files of NDAs and customer contracts
- Managing office operations for both our in-person office in London and our virtual workplace for remote employees
- Acting as culture and inclusion ambassador, organising social and wellness events and initiatives
- Booking monthly international and domestic travel and accommodation to customer sites primarily in North America, Asia, and Europe, and arranging necessary visas and customs documents
- Chasing and accurately bookkeeping invoices and receipts, and administering our expense management systems
- Administering and supporting marketing efforts including social media posting, drafting and sending internal and external newsletters, and planning future marketing initiatives
- Administering accounts receivable including customer onboarding, quote and invoice issuing, purchase order management
- Administering and managing confidential personnel files
- Preparing employee paperwork including contracts and amendments, performance review forms, reference letters, etc.
- Assisting with employee onboarding and offboarding
- Assisting with asset and hardware tracking and bookkeeping
- Managing diaries and providing support for the CEO and Senior Leadership Team
- A minimum of 1-2 years’ experience in an office support role
- Experienced with GSuite applications, including Gmail, Groups, Admin, Drive, Forms & Docs
- Excellent interpersonal and communication skills, both verbal and written
- Excellent problem solving skills, adaptability, curiosity, and confidence to ‘challenge the norm’
- Enormous respect for confidentiality and sensitive information
