We are seeking an enthusiastic individual to join the School of Immunology & Microbial Sciences (SIMS) Professional Services Team as a Operations Assistant.
The post is on a hybrid working pattern, with a minimum of 3 days on Campus within the James Black Centre at Denmark Hill and up to two days working from home (but will work from other campuses when required).
As part of the School Professional Services Team, the post holder will work closely with Operations Officers and the School Core Team, to ensure School activities are supported, including Research Meetings, Seminars and Events.
You will be the primary admin contact for members of the School based in Denmark Hill, actioning, or signposting and directing queries to the relevant member of the Professional Services Team.
The successful candidate will harness a proactive and professional approach to work, with the ability to manage a varied workload and to prioritise effectively.
Strong communication and interpersonal skills are essential as the successful candidate will need to collaborate with colleagues across the university and with external partners.
Previous experience of working in an operational administration and/or business services setting would be beneficial.
This post will be offered on an indefinite contract.
This is a full-time post - 100% full time equivalent**.**
Key responsibilities
Maintain regular and reliable contact with Academics and Researchers, including email communication, Microsoft Teams calls and in-person meetings
Assist the School HR & Finance Manager with the fixed term contract renewals and associated recharge agreements
Forward queries and actions to the wider PS Team, monitoring progress and following through to resolution/completion of task; updating on progress and feeding back
Process financial transactions (including purchase orders, invoices, sales invoices, non-staff expense claims)
Investigate and resolve Supplier invoice queries
Minute taking at the monthly Technical meetings
Provide support for School Events
Update the School Student Tracker database
Updating local photo boards
Cover for shared mailboxes
Provide general administrative support to the School Core Team
Support local cost-saving initiatives
To build and maintain effective relationships with Academic and Professional Services Colleagues across the College

Skills, knowledge, and experience
Ideally the successful candidate will have previous office administrative experience.
Essential criteria
- Vocational qualifications (HNC, NVQ3) or equivalent experience
- Proven administrative skills
- Good working knowledge of Microsoft Office, Email, the Internet and Databases
- Good numeracy and literacy skills
- Excellent communication skills
