Our Client is a Part-time Administrative Assistant to provide both friendly and professional support to our Consultants Administration Team and clients. The ideal candidate will be a key player in ensuring the smooth operation of their office, managing communications, and assisting with various administrative tasks.
Day-to-day of the role:- Analyse, log, and distribute or process incoming post as required.
- Manage client and consultant emails efficiently.
- Organise travel arrangements and requirements for colleagues.
- Prepare and distribute information packs to relevant parties.
- Manage timescales for the issue of agenda packs for meetings.
- Prepare and distribute minutes to clients and manage action points arising.
- Keep Outlook calendars and diaries up-to-date for consultants, clients, and third parties.
- Arrange meetings and hospitality, ensuring all details are handled with care.
- Copy type and prepare reports, project updates, and letters with a high level of accuracy.
- Handle telephone enquiries and queries, providing helpful responses and processing as needed.
- Maintain filing and scanning systems, ensuring information is easily accessible.
- Deal with routine correspondence in a timely and professional manner.
- Proven experience in an administrative or secretarial role.
- Excellent organisational skills and the ability to manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and PowerPoint.
- Ability to prepare and assist with PowerPoint presentations and tender documents.
- Experience in managing diaries and making travel arrangements.
- A keen eye for detail and the ability to maintain accurate records.
- The flexibility to attend Trustee Meetings on occasion and assist with project management.
