We are looking to recruit a Part-time Receptionist Administrator/Legal Secretary to join our client's organisation based in Southam. You will be joining a friendly, supportive team and will provide a professional, friendly, helpful, and efficient service to all callers to Reception, either by telephone or in person. You will also provide comprehensive administrative support to a busy Conveyancing department. This opportunity is a P/T permanent job working Mon-Fri, 4 hours per day, 20 hours per week. Our client is flexible with start and finish times. Salary is circa £12,000 - £12,500pa doe plus excellent benefits and free car parking.
Knowledge and Experience:
- Previous experience of working in a similar customer facing and administrative role (previous legal experience is desirable but not essential as training will be given)
- Knowledge of telephone systems and the ability to use telephone system skilfully
- Excellent keyboard skills with a good knowledge of Outlook, Word and Excel
- Excellent client care
- Sound interpersonal and communication skills
- Good organisation and administration skills
- High level of accuracy and attention to detail
- Ability to remain discreet and always maintain client confidentiality
Key Responsibilities:
- Provide reception and administration support
- Answer the telephone promptly in a clear and confident manner
- Receive all scheduled visitors into Reception and notify member of staff immediately on their arrival
- Verifying of Anti Money laundering (AML) documents for Conveyancing correctly before scanning
- Typing and secretarial work within the Conveyancing department
- Scanning and sorting of post for all departments, if requested to do so
- To proficiently use the Firm's case management system (Training will be given)
- Carrying out the file closing process, preparing files for closing and archiving
- Take payments from clients as required
- Take bookings for meeting rooms
- Ensure that post is opened and distributed
- Ensure that all deliveries to Reception are notified to appropriate person as soon as possible
- To attend Conveyancing and Reception meetings and firm wide meetings
