GI Group are now seeking to appoint a Personal Assistant to our public sector client based in Chertsey. The Personal Assistant will provide a comprehensive confidential and professional administrative support to Senior Leaders within a maternity services team.
Main Duties of the Personal Assistant:
- Diary management and arranging of meetings
- Management of incoming and outgoing written and e-mail correspondence
- Management of incoming telephone calls and prompt message handling
- Drafting replies to correspondence and taking follow up action, as directed
- Ensure that all work is dealt with promptly and efficiently and in accordance with the organisation's policies and procedures. A high degree of sensitivity and confidentiality is required.
- Support the Senior Leadership Team in delivery of strategic projects within Maternity by collating documentation and progressing responses to required actions.
- Preparing documents for meetings for adhoc projects and teams.
- Support meetings with minute taking and progressing action logs.
Role Requirements:
- Secretarial training qualification (e.g., RSA, BTEC)
- NVQ Level 4 or equivalent qualifications and/or training
- Significant administrative experience.
- Experience handling enquiries from stake holders and Multi-Disciplinary Teams
- Ability to work under pressure.
- Ability to deal with confidential issues
- Experience of minute taking
- Experience of diary management
