A fantastic opportunity has arisen for an PA/Team Assistant to 3 Executives to join this Global Retailer. You will be supporting the Executive Development Management within the Careers Team with all Programs and Event. This role is a multi faceted role with lots of elements to it, so requires someone who is able to confidently multitask whilst supporting this busy team and posses first class communication skills. Duties will include
- Proactively manage diaries and meetings - including arranging/scheduling appointments, coordinating dates, times, and locations for meetings, organising video conferences, room bookings, catering and dial-ins.
- People Reviews – Schedule and support People Reviews and preparation meetings. Track and maintain executive talent data (vacancies, moves, succession), and create quarterly reports.
- Plan and manage the invoice and expense process for the Reward team, including invoice payment, credit card bills, personal expenses, phone bills.
- Coordinate the invoice and expense process for Executive Development team, including invoice payment, credit card bills, personal expenses, phone bills.
- Provide general administration to the Executive Development and Reward teams including maintaining departmental databases, organisation charts, register of development agencies etc. Support and arrange regular team meetings and interactions
- Assist with researching, manipulation of data and editing of presentations.
- Build and maintain a strong positive rapport with the EA network across the business.
- Act as the point of contact for the departments among executives, employees, clients and other external partners.
- Arrange travel itineraries including booking of tickets, hotels, transport and keeping on top of changes. Managing all Visa or medical arrangements and currency requirements.
- Ensure correspondence and relevant materials required by the function heads and their teams are produced in a timely and accurate manner – includes PowerPoint, documentation, briefs, presentations, formatting documents.
- Coordinate both the annual budget process and tasks relation to GDPR across the teams.
- Support the team with event preparation and attend events as required.
The person
You must have previous PA/Team Secretary experience to include global travel organisation, have excellent attention to detail and first class communication skills, as this role offers the opportunity to liaise with snr level Execs across the business.
