We are currently seeking a highly organised and proactive Personal Assistant to provide comprehensive support to three members of our leadership team. This temporary role is based in Bury St Edmunds with the flexibility of hybrid working. The successful candidate will be responsible for diary and inbox management, meeting bookings, minute-taking, arranging travel and accommodation, and inputting expenses.
Day-to-day of the role:
- Efficiently manage and organise the diaries of three leadership team members, ensuring optimal scheduling of meetings and appointments.
- Handle inbox management, prioritising emails and ensuring timely responses.
- Coordinate meeting logistics, including booking venues, arranging necessary equipment, and preparing meeting materials.
- Take accurate minutes during meetings and distribute them promptly to all relevant parties.
- Arrange travel itineraries and accommodation for business trips, ensuring a smooth and efficient process for the leadership team.
- Process and input expenses, maintaining accurate records for financial reporting.
Required Skills & Qualifications:
- Previous experience in a Personal Assistant or Executive Assistant role.
- Excellent organisational and time-management skills.
- Proficient in diary and inbox management.
- Skilled in minute-taking and the preparation of meeting materials.
- Experience in arranging travel and accommodation.
- Competent in managing and inputting expenses.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite and other relevant software.
