Personal Assistant to the Principal (12-month maternity cover)£28,000 per annumChelmsford, EssexMonday-Friday, 37 hours
Please note, this is a 12-month maternity cover contract. To be considered for this role, you must be available immediately or at short notice. Due to the nature of the business, you will require a fully enhanced DBS.
My client, a fantastic business in the education sector, is seeking a Personal Assistant to the Principal to join them on a maternity cover contract.
Duties:
- Assisting the Principal & Chief Executive as well as the Assistant to the Director of Governance on a daily basis.
- Maintaining diaries, making appointments and other arrangements as necessary.
- Providing confidential typing service - drafting and preparing general correspondence as required.
- Researching and disseminating information as directed.
- Attending meetings, drafting and preparing agendas, minutes and other associated circulations.
- Producing and circulating schedules.
- Assisting the Director of Curriculum in communication regarding complaints.
- Responsible for the booking / purchasing of ad hoc items - hotels / conferences when required.
- Drafting and circulating emails on behalf of the Principal and Director of Governance.
- Ensuring that all information is readily available for key events including Ofsted inspections.
- Assisting at education events.
- Preparing and distributing timetables for all meetings ensuring the Director of Governance, Principal and Chair of the Corporation are kept informed.
- Arranging meetings for the Corporation and its committees and arranging venues, refreshments etc.
- Preparing draft agendas for Corporation meetings, preparing and circulating agreed agenda to Corporation members.
- Maintaining the Register of members and Register of members' Interests.
- Maintaining the Minute Book's and Confidential Minute Book.
- Assisting the DoG to the Corporation in planning the schedule of Corporation members' terms of office and re-election.
- Distributing information on seminars to Corporation members and booking places, obtaining venue details and arranging payment. Providing assistance to the Corporation members for the reimbursement of expenses.
- Producing a variety of correspondence on behalf of the Corporation.
- Maintaining the governor's intranet portal.
- Dealing with all enquiries and messaged effectively and efficiently.
- Maintaining the filing system.
- Receiving incoming mail and preparing outgoing mail.
- Receiving visitors and offering refreshments.
- Ordering of office materials such as stationery.
- Arranging car parking for visitors.
Previous experience within a similar role is essential to be considered for this role.
