About the Personal Assistant Role:
This role's primary aim is to support the senior Management and the PA with various tasks and responsibilities to help them free up time to focus on their core responsibilities
Working closely with the senior management and the PA, you will be expected to complete a series of administrative and organisational tasks in a timely manner. Details of all tasks must be raised and recorded onto the appropriate systems to ensure the necessary arrangements are triggered to facilitate onward progress. It is imperative details captured are accurate and remain updated throughout to allow for management information and reporting.
our first three months will involve getting to know and understand the company and its services, with extensive and continued support and training provided.
Key Responsibilities:
- Supplier invoice processing and filing.
- New client onboarding tasks associated with accounts.
- ISO tasks & audit lead.
- Travel plans and management.
- Diary management and meeting coordination.
- Office supplies and organisation.
- Intranet news and updates.
- Website document uploads and management.
- Create and post social media videos.
Administrative Responsibilities
- Handling communications via phone, E-mail, and conferencing.
- Post distribution and filing.
- Understand and maintain the ISO Business Management System.
- Knowledge of GDPR to ensure company policies and compliance are up to date.
- Client meeting scheduling and agenda distribution.
- Team and client anniversary/birthday management.
- QBR scheduling and document distribution.
- Supporting other teams with staff absences.
- Company event scheduling and management.
- WFH team member hotel reservations.
- Dry cleaning/coffee/lunch.
- New starter card, gift, photo, and meet/greet organisation.
Key Skills and Experience:
- At least 1 year’s experience as a PA or EA would be preferred.
- Confidence with CRM systems, i.e., Salesforce (not essential).
- Meticulous accuracy and attention to detail.
- Excellent IT skills, especially MS Office.
- Ability to learn and be productive with new systems.
- Passion and understanding of technology (advantageous but not essential)
- A real team player with flexibility.
- Adaptability.
- Strong command of the English language (written, verbal and understanding).
- Articulate with Excellent communication skills.
- Excellent organisational skills.
- Honest, with a positive attitude.
