Location: Stratford, London Office-based with high flexibility (1-2 days per week in the office)

CRUK are looking for an experienced PA to provide full personal administrative support to the General Counsel and Company Secretary and Finance Director. You will work as part of the team that support our senior leadership, acting as an ambassador for the directorate and supporting the Directors in their strategic aims and goals.
What will I be doing?
- Proactively manage and maintain complex diary schedules for the General Counsel and Company Secretary and Finance Director (the Directors), maintaining knowledge of the Directors’ work and responsibilities to ensure tasks and meetings are prioritised effectively
- Support organising departmental and client events and away days, including the preparation of materials, agendas, minutes as well as practical administration such as room booking and catering.
- Manage all documentation needed for meetings, including the briefing process, agendas and minutes (where required) for leadership meetings.
- Organise all travel and accommodation requirements for the Directors, producing clear and concise schedules.
- Responsible for updating org charts and distribution lists
- Supporting the General Counsel and Company Secretary and Finance Director with taking on tasks for new hires/leavers and administration around line management as directed.
- Work within the central internal comms team and collaborate with comms champions and peers to support the development and timely delivery of local key messages. Take a lead role in the development and delivery of department wide communications including regular all staff briefings, newsletters or other routine communication channels.
- Work as part of a team with other EAs and PAs to ensure work is covered and communications shared as appropriate.
- Support the General Counsel department on budget management, forecasting and planning and, as required, processing of suppliers and invoices
- Ensure appropriate approvals are sought for internal processes, purchase orders and expenses
- Track action items and key issues to closure with a high degree of integrity and accountability
- Manage multiple requests and priorities – staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs
- Ensure upmost confidentiality and discretion at all times.
What skills will I need?
- Experience of providing high level support at Director level, including diary management, document preparation (PowerPoint presentations, meeting agendas, correspondence) and minute taking.
- Excellent interpersonal skills, comfortable interacting with stakeholders at all levels., serving as a critical and professional link between the Directorates and stakeholders.
- Tech-Savvy: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) plus familiarity with business systems such as HRIS and finance business process systems
- Ability to draft appropriate comms for different audiences – team wide to senior level.
- Proactive and self-motivated
- Ability to network and work as part of a team with other EAs and PAs and team administrators
- Excellent prioritisation and time management skills
- Ability to maintain confidentiality and use discretion and diplomacy
- Identify and understand the needs of others and manage expectations
- Ability to work with minimum supervision and keep to deadlines
- Creative and forward thinking – championing new ideas and process improvements
