We are looking for a proactive, approachable Personal Assistant/Administrator with a want to get involved to join our team and support with day-to-day tasks.
Aiding the Building, Engineering and Maintenance (BEM) department with administration support and to provide a comprehensive personal assistant service to members of the senior BEM management team.
Undertake complex administrative tasks following guidelines in the role of personal assistant to the Senior Management Team.
Main duties of the job
Provide comprehensive support to the senior team including diary management, coordinating and arranging meetings, taking minutes.
Undertake complex administrative tasks following guidelines in the role of personal assistant to the Senior Management Team.
Update staff records using Healthroster (Trust electronic system) including payroll information for new starters, bank staff, overtime, sickness absence, clock cards, P forms, etc.
Inputting Annual leave and Bank Holiday entitlements using Healthroster.
Administration of Annual leave purchase process.
Issuing of annual leave entitlement letters using mail merge.
The issuing out of radios to workshop staff.
Preparation of interview packs.
Ensure appropriate stock levels and resources are available – monitor and manage stationery supplies for the team.
Raising requisitions on Oracle.
Deal with enquiries face to face, via telephone and email supporting other staff with more difficult situations.
Helping with reception cover using Concept (CAFM system) when required.
Any other administrative duties as required.
