Salary: £25,000 up to £29,000 dependent upon experience

Contract Type: Permanent, Full-time

Security Level: BPSS

The Role

 

The Portfolio Management Coordinator is responsible for providing Portfolio Management Office (PMO) support and for leading project management coordination activities for the Environmental Sustainability team.

 

They are responsible for assisting the project teams with administrative, planning and co-ordination and general program governance. 

 

Core Accountabilities

 

  • Arranging Portfolio Management (and program/project) meetings, taking notes, recording, and updating actions, recording decisions. 
  • Assisting in the development and maintenance of project management documents (Project Initiation Document, Budget Report(s), Work Breakdown Structure, Project Plans, Change Requests, etc.)
  • Creating and maintaining document libraries, acting as coordinator for program/project documentation including document version control.
  • Collaborate with Project and Program Managers to log, manage and analyse the progress of projects using Microsoft Project, Pentana and Excel.
  • Monitor project schedule and budgets and prepare progress reports liaising with key stakeholders.
  • Maintain and monitor risk, issue, assumption, and dependency (RAID) logs.
  • Analyse data, summarise outcomes and present conclusions.
  • Identify and implement operational efficiencies across the team.
  • Support the design, delivery, and ongoing management of the governance framework.
  • Support project financial management and timesheet administration by maintaining access permissions, running reports, and analysing data to identify potential issues.
  • SharePoint administrator for the department, maintaining access permissions and advising on best practice.
  • Undertake any appropriate duties which may be allocated from time to time.

 

About You

 

To be considered for this role you will have the following experience, skills and knowledge:

 

  • Experience in project work with knowledge of concepts for managing programs/projects, preferably supported by project management qualification.
  • Collaborative and constructive attitude, able to develop effective relationships across teams.
  • Good organisational skills are essential with the ability to prioritise, plan and co-ordinate activities taking account of relevant factors such as deadlines, staffing and resource requirements.
  • Able to work under pressure in a fast-paced environment and used to delivering to short timescales.
  • Excellent IT skills with proven ability in all Microsoft Office products including Project and familiarity with collaborative working IT solutions is desirable (e.g. SharePoint).
  • Pro-active, a self-starter with the ability to work with minimum supervision, will need to be able to use their own initiative and set own deadlines; strong time management skills are essential.
  • Able to collect data and inputs from others and create summary information to inform decisions.
  • Enthusiastic with positive attitude to work; unafraid to challenge the status quo but risk aware.
  • Good interpersonal skills, including an ability to adapt appropriately to deal with people at all levels.
  • Good verbal and written communication skills with attention to detail.
  • Extensive experience in managing contributions of others to meet project deadlines.

Additional Information

 

For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.
