About the team
You will be part of the Global Real Estate team based in London, working with the EMEA team and ensuring on-time delivery and user satisfaction. Our goal is to ensure that our employees are operating at their best, in a well-structured, inspiring environment.
Payment:
- Manage end-to-end office rental payment and operation payment timely and accurately in the region;
- Update payment tracker on a daily basis and provide monthly utility payment analysis. To ensure every cost data is properly documented, updated and communicated to relevant stakeholders.
- Familiar with tax knowledge in EMEA regions, monitor invoices and support finance and tax teams on information alignment.
- Ability to understand payment terms, payment cycle and special work order process with proper documentation.
- Ensure security deposit refund accurately and on time
- Develop strong relationships with internal and external partners, collaborate with internal stakeholders on cost center allocation, follow good communication with landlord independently.
- Due diligence in the documentation processes working with the finance team, landlords, serviced office providers, tax team etc.
- Familiarise, manage and assist in the system processes of internal approval
- Manage and optimize the tracking of the EMEA payment database of all invoices, such as monthly rental payment, key card replacement, utilities payment, car parking payment, co-working spaces meeting room payment etc, making sure that all information is kept up to date and accurate
- Perform other Real Estate related duties as assigned, including regular reports to management etc.
- Ability to prepare business charts and graphs for payment status within EMEA and analyse payments trending per budget allocation
- Proactively spot and highlight to the facility management team on utility trends, working cross functionally with internal and external stakeholders to understand root causes.
Qualifications
- Relevant accounting/payments-related working experience, preferably in tech, consultancy, Real Estate, landlord, workplace related areas;
- Good command in the use of excel
- Self-starter and a team player who is highly adaptable to changes, task driven, detail focused and time focused
- Have an ability to be a quick problem solver and learn how to manage a range of internal and external parties;
- Ability to practice critical and sound thinking, empowered to make good judgement calls when needed;
- Good time management juggling multiple tasks of ranging priorities.
- Demonstrate good verbal and written communication skills;
- Proactive attitude with excellent data analytical skills in dispute settlement is a plus
