You will be the first point of contact welcoming all visitors who enter the premises and will also provide support with day to day facilities management.
Essential Duties:
- Responsible for greeting all visitors
- Maintain high standards in site security by following procedures, maintaining logbooks and issuing visitor badges
- Efficiently notifying colleagues of their visitors’ arrival
- Efficiently answering the phone and re-directing the caller to the appropriate person
- Ensure that the reception area and meeting rooms remain tidy and welcoming for visitors
- If required, direct visitors to a meeting room
- Efficiently deal with meeting room bookings
- Assist with arranging taxis for clients and or visiting IFS staff as and when required
- Accept all post items into the office including but not limited to; letters, parcels & packages etc
- Notify recipient when they have a delivery
- Inform IT of deliveries arriving at Reception which will include but not limited to; mobile phones, keyboards and mice etc
- Arranging regular couriers for the delivery of starter kits and the collection of leavers IT equipment - co-ordination is key to this part of the role.
- Organise out going post and couriers as and when required
- Setting up Suppliers, raising purchase orders and receipting and assisting IFS Accounts Payable with any queries.
- Maintain sufficient stock levels of stationery
- Organise catering upon request for customer meetings and staff events
- Alert the Facilities Manager of any security threats, break-ins, power cuts, fire, floods or any other environmental / biological issues that may impact normal business operation
This role would suit a team player with strong organisational skills who can remain calm under pressure.
Hours: Monday - Friday 08:30 - 17:30 or 09:00 - 18:00
