Description
This role reports directly to the Office Services Manager and is responsible for delivering high-levels of client and front-of-house services.
Key tasks include maintaining the front-of-house areas (including meeting rooms) and ensuring that these are always presentable, servicing meetings including providing refreshments where required and dealing with general enquiries at the Reception desk.
This is a full time role based at our contemporary head offices at Pride Park in Derby.

- Greet clients and visitors in a professional, client-focused, and friendly manner.
- Provide information to clients and visitors in accordance with firm-wide standards, policies, and procedures.
- Take messages and ensure that these are passed on to the relevant member of staff within the required timeframes.
- Assist with meeting room bookings on behalf of staff as and when required.
- Provide refreshments to meetings and ensure rooms are cleared promptly once meetings are finished.
- Receive and sort mail and deliveries as they come into Reception throughout the day in accordance with the firm’s policies and procedures.
- Update the hand delivery log daily and share every Friday with senior management.
- Arrange deliveries via external couriers.
- Receive payments from clients and cash handling.
- Where appropriate copy original ID documents and ensure that these are sent to the relevant department/fee earner.
- Monitor and maintain equipment and supplies required in the reception area and always keep the reception area clean and tidy.
- Answer all external calls in a confident, courteous, and polite manner regardless of the nature of the call.
- Be aware daily of all information that may be relevant or needed to be given to external or internal callers.
- Update the meeting room phone directories on a weekly basis.
- Monitor visitor access and always maintain security awareness and confidentiality.
- Ensure that you have knowledge of staff movements in and out of the firm (where appropriate/required).
- Provide cover for switchboard when required.
- Assist with post duties as required.
- Photocopy documents for fee-earning departments.
- Process stationary orders as required.
