Do you LOVE being a Receptionist? My client is one of the City’s most respected Private Equity houses and their work ethos is second to none. They are a small, successful, incredibly busy but very happy team, where the work/life balance is respected and the staff turnover is extremely low!
They are now looking for someone with professional gravitas, a great attitude and 'can do' manner to be the face of the company on their front Reception desk, ensuring that everything runs like clockwork!
Duties will include but not be limited to:
- Managing the day to day running of the reception; setting up of meeting rooms, greeting all visitors and informing host of visitor’s arrival.
- Organising refreshments and lunches for client and staff meetings, clearing and replenishing rooms afterwards.
- Setting up Visual Conferencing facilities in rooms as required.
- Distributing all post and special deliveries to the correct places and ensuring all outgoing post is franked and ready for the daily collection
- Answering all incoming telephone calls and pass on messages accordingly. (Minimal)
- Maintain the stationery cupboard
- Work with the Office Manager to ensure that Health & Safety regulations are adhered to.
- Assist the Office Manager with facilities and office management duties, liaise with engineers when emergency occurs, etc.
- Act as the go-to person for any ad-hoc admin tasks
- Sort the office post and arrange couriers when needed
- Prepare the following days meeting schedule from the diaries and book external guests on ground floor guest system.
- Covering for the Office Manager when on holiday etc.
- Kitchen:
- Keep the kitchen tidy at all times
- Fill and empty dishwasher when required
- Ordering of all supplies
- Keep all coffee machines filled with water and coffee pods topped up.
- Replenish still/sparkling water and fizzy drinks in fridge
Essential Requirements:
- A steady CV with proven experience providing Front Of House support within a London corporate, ideally in the financial sector
- A very professional demeanour with a good understanding of the etiquette and professionalism needed to run reception to a high standard
- Very good communication skills, confident and experienced in dealing with senior executives on a constant basis
- Highly proactive, happy to roll your sleeves up and not fussed about making tea/coffee for visitors when required!
- A good team player and able to get others to help them if needed during busy periods.
