To provide a welcoming effective and efficient school office service by providing a professional and welcoming environment as the first point of contact for the parents, visitors, and contractors. Ensuring a full understanding of the safeguarding policies and procedures with respect to visitors and implanting these efficiently. Providing efficient school communications both incoming and outgoing. To assist staff with communications with parents and the wider community. To assist pupils with queries. To organize school events as required. To undertake routine administrative tasks as directed by the senior leaders.
Duties and Responsibilities.
• Welcome parents, visitors, contractors to site giving instructions on the visiting procedures and issuing visitor passes as required. Checking Safeguarding documents.• Act as first point of contact for the telephone, answering enquires and/or taking messages. Ensuring messages are passed on to the appropriate staff promptly either by email or if urgent, by taking them to class.• Record communication with parents on Arbor• Opening and delivery of all post.• Monitoring and processing the mail box• To send communications to parents by text, email, post and telephone as required.• To assist with staff, pupil enquires.• To liaise with the COIN administrator.• To assist with pupil first aid/ welfare duties, including administering medicines as appropriate. Understanding the appropriate school policies and procedures are maintained.• To maintain records of accidents and other relevant records.• To administer the RIDDOR process (pupils, visitors or staff).• To produce the weekly staff bulletin and school newsletter in liaison with the Head.• To assist with promoting the school image and outstanding reputation, when required.• To regularly maintain and organize office filing systems, retaining documents, correspondence and other records• To be a school Fire Marshall
School events
• To maintain the electronic school diary.• Assisting staff with planning a school visits, e.g. booking coaches, assisting with letter/forms to parents.• Inputting school trips on the school payment system where relevant.• Provide trip organiser with balance of payment statements weekly until fully paid.• Liaising with Club coordinator for letter/forms for parents.• Inputting paying for clubs on the school payment system.• Provide Clubs coordinator with balance of payment statements weekly until fully paid.• Arranging school photographer, nurses, and other regular professionals.• To coordinate parents evening with Head and Deputy Head.• Assist the Head and Deputy Head with the annual update of the school prospectus.
