About Our Team

The UK Recruitment Team sits within the HR Directorate and supports recruitment at all levels across the University.

This is an exciting time to join Heriot-Watt and our busy Recruitment Team. The role will be fast moving at times but interesting as you look to support a range of support requests from across our UK Campus. The role will work closely with Hiring Managers, Casual Workers, Payroll and the wider Recruitment team.

Key Responsibilities

  • Core responsibility is to review, create, maintain and audit Casual Worker Records ensuring full compliance for payroll and audit updates.
  • Support the HR System Queue Management for general and casual worker queries and requests.
  • Lead on Right to Work Check processes and documentation including in person checks and utilising digital check platforms.
  • Ensure GDPR compliance at all stages of the casual recruitment process ensuring relevant information is stored securely or destroyed as needed.
  • Ensure each record has information that is captured in line with the requirements needed for the UKVI process.
  • Advising Hiring Managers on correct casual enegement processes including on individuals being able to commence employment after all checks and compliance procedures are completed and verified.
  • Rigorous tracking, maintenance and reporting of casual records.
  • Provide regular updates to key stakeholders, ensuring compliance at all stages.
  • Managing single and multiple transactions during high volume and non-peak periods.


Education, Qualifications & Experience

Essential criteria

  • Literacy and numeracy skills equivalent to SCQF Level 5 or similar or equivalent experience
  • Understanding of GDPR processes
  • Competent in the use of relevant IT packages
  • Demonstrable professional and proactive approach
  • Demonstrable ability that you work quickly, flexibly and accurately in a dynamic, changing and pressured environment

Desirable criteria

  • Educated to SCQF Level 6 or equivalent qualification
Understanding of Tier 2 and Tier 4 application processing and the requirements needed for UKVI
