I am looking for an Admin Assistant to join a Primary School in Halifax on an ongoing temporary basis.
Duties:
General
· To be the face of the school for parents and carers, as the first port of call, either on the phone or face to face
· To be able to support the day-to-day organisation of the school to ensure its smooth running, prioritising jobs, as necessary, in the course of duty
· To liaise with the Site Manager to ensure that routines such as school meals are well established and organised efficiently
· To liaise with the Site Manager regarding any deliveries and their distribution
· To ensure that Attendance is recorded accurately and provide weekly and termly school attendance updates to the Headteacher /Deputy Headteacher.
· To follow up and record unauthorised absences in liaison with Head Teacher / and if necessary the Education Welfare Officer – liaise with attendance officer?
· To be responsible for maintaining registers for before and after school clubs
· To make/ take telephone calls and deal with queries as they arise
· To communicate with parents/carers via letter, text message and email
· To compose and write letters on behalf of the Headteacher and other teachers in school
· To supply information about the school when requested
· To lead on hospitality for meetings held in school
· To oversee the medical room and its resources, auditing and ensuring stock is organised and current, and order more as needed
· To meet with parents/carers to complete medical care forms for children with a medical need, ensuring effective communication with parents/carers and key staff and keeping all records up to date
· To undertake first aid training and be responsible for administering first aid as needed
· To carry out tasks under the direction of the Office manager
Financial
· To oversee the day to day running of the ‘School Money’ App.
· To be responsible for the collection of money into school fund relating to school trips, before and after school clubs, items of uniform, fundraising activities etc. This may be paid to school as cash or via our on line payment system ‘School Money’
· To chase parents/carers for non or late payments
· To carry out tasks under the direction of the Office Manager
Clerking/Administrative
· To perform general clerking duties to ensure the smooth and efficient running of the school, as required
· To enter pupil data into SIMS systems
· To update pupil data on an ongoing basis
· To make, and respond to, telephone calls/text messages/emails, as appropriate
· To sort mail and forward to the relevant staff
· To write or edit, file and sort, where necessary, letters, documents and communications
· To assist parents/carers who have queries
· To photocopy materials needed by the staff for the efficient running of the school
· To ensure the systems for signing in are maintained and effective
· To organise the appointment system for teacher consultation meetings with parents/carers
· To liaise with key staff to organise the open afternoons and induction for new children
· To liaise with teachers to source/organise/book coaches and venues for educational visits and organise workshops
· To liaise with the chair of the PTFA and co-ordinate any school tasks for events
· To organise school events such as the photographer, communicate with staff and ensure the event runs smoothly, collecting relevant feedback as needed
· To carry out administrative duties relating to any before or after school clubs as required
· To carry out tasks under the direction of the Office Manager
· To oversee the running of the Nursery Portal, updating and completing tasks when required.
There will be a 30-minute supervision role of some of the children at lunchtime, ensuring their safe play.
This is a full-time role, working 37 hours in term time only.
