Secretarial Assistant - CEO Office - City of London - Banking
Excellent opportunity for a Secretarial Assistant to join an International Bank's London outfit, working in the CEO's office. This temporary role will provide support to the Executive Assistant of the Chief Executive Officer of the Bank. The successful candidate will need to perform diverse administrative duties requiring confidentiality, a strong work ethic, be extremely efficient, reliable and have a common-sense approach. The Bank works in a hybrid mode.
Primary Responsibilities of Role:
- Extensive diary management and meeting co-ordination with both internal and external stakeholders, including Board members, showing an ability to juggle the calendar at short notice and effectively handle scheduling conflicts. The diary needs to be organized in a way that improves time management and allows the senior management and the CEO to focus on key priorities, while applying good judgment and an understanding of competing priorities.
- Co-ordinate and prioritize meetings across all levels within the organisation and externally
- Ensure all relevant documentation is available in advance of meetings.
- Manage multi-stakeholder meetings involving various time zones, room bookings, conference calls, video conferences.
- Event management, this includes scheduling and coordination of all-staff meetings, town halls and workshops and company social events.
Travel Arrangements:
- Preparation of at times complex and detailed itineraries, including ordering foreign currency, visa arrangements, and ensuring adherence to all Bank policies.
- Manage a multitude of frequent changes at short notice and prepare travel itineraries with the ability to navigate travel systems well and apply good judgment on how to optimize the CEO's time.
Expense Management:
- Co-ordination of the CEO's travel expenses, adhering to firm policies around documentation, expense limits, out of policy and employee reimbursement.
- Log required approvals in a timely manner and ensure updates are made to internal documentation systems.
Compliance and Controls:
- Demonstrate an understanding and proactive approach to relevant compliance and control policies.
General Administrative Support:
- Create a highly professional image of the CEO's Office.
- Arranging couriers and taxis, and undertaking ad-hoc projects as required
- Prepare agendas and collate presentations for management meetings and off-sites; printing off all documentation and ensure papers are available in advance of meetings.
- Liaise effectively with external and internal key stakeholders, at all levels of seniority, with integrity.
- Handle confidential information with professionalism.
