Senior Executive Assistant - Private Client - Edinburgh - Salary up to £35,000 p/a DOE

Are you interested in joining a leading, legal firm in Edinburgh? 

 

We are looking to speak to Senior Executive Assistants, with experience within the private client sector who are looking to secure a new, exciting opportunity in Edinburgh. Ideally, for this role, you will have existing EA experience, managing key stakeholders daily and providing excellent service across the business. You will be well organised and able to manage a busy, ever-changing workload daily whilst completing all work to a high standard. You will be building key relationships with Partners, clients and colleagues alike, as well as implementing new processes and supporting/coaching colleagues daily.

This is a full-time, permanent role, working core business hours Monday-Friday. The salary for this role is up to £35,000 p/a DOE. 

 

Are you who we are looking for? 

  • You are a highly experienced Executive Assistant, particularly within the Private Client sector
  • You are a confident communicator both written and orally, and able to build strong relationships with internal and external stakeholders 
  • You are proficient in the use of Microsoft Packages, BigHand and other software or Document Management Systems 
  • You are proactive, self-motivated and adaptable 
  • You are commercially aware and able to identify and set expectations
  • You can work well under pressure and to high standards 
  • You are well organised and able to manage your time to complete all tasks within set targets and deadlines 
  • You can work independently, manage any ad-hoc projects with minimal instruction 
  • You enjoy working as part of a wider business area, individually and within a smaller team environment 

 

What is the day to day like? 

  • Acting as the first point of contact for day to day workloads or the secretarial team within the private client team
  • Working on BigHand and managing the central inbox daily, ensuring all work is complete within required timescales 
  • Developing and maintaining strong relationships across the various legal teams daily, delivering a seamless support service to the business 
  • Collating, sorting and distributing mail across the business area
  • Updating welcome documents for the private client practice area 
  • Allocating new start lawyers and secretarial support to the assigned legal team, utilising BigHand daily, and liaising with the Secretarial Engagement Manager accordingly 
  • Allocating trainees to their EA in line with allocated Line Manager in advance of any seat moves taking place across the business 
  • Actively taking part in annual appraisal processes within the business 
  • Identifying and organising opportunities for secretarial development 
  • Handling internal Senior EA cover within the team
  • Managing annual leave requests from team, supporting workload and allocations, ensuring support is in place at all times 
  • Identifying opportunities for process improvement and enhancing service delivery
  • Completing all EA duties daily, including diary management, administrative support and other tasks
