Job Overview:
We are looking for a detail-oriented and organized individual to join our team as a Service Assistant. In this role, you will play a crucial part in ensuring the smooth operation of our service department. You will assist with administrative tasks, coordinate service projects, and provide support across various functions including security services, cleaning services, building management services, recruitment and placement of operators, client liaison, and account management. Responsibilities:
Administrative Support:
Perform data entry tasks using accounting software and other office software.
Organize and maintain service department records and files.
Answer phone calls and provide excellent phone etiquette when communicating with customers.
Provide administrative support to service technicians, including scheduling appointments and dispatching work orders.
Assist with inventory management and ordering of supplies.
Prepare and distribute reports as needed.
Perform general clerical duties such as filing, photocopying, and scanning documents.
Coordination and Support:
Assist in coordinating service projects and ensuring timely completion.
Liaise with clients to understand their needs and requirements.
Support recruitment and placement activities for operators.
Assist with account management tasks, including billing and invoicing.
Requirements:
Proficiency in using QuickBooks for data entry tasks.
Strong organizational skills with the ability to multitask effectively.
Knowledge of office software such as Google Suite (Docs, Sheets, Slides).
Excellent phone etiquette and communication skills.
Previous experience in an administrative or clerical role is preferred.
Ability to computerize information accurately and efficiently.
Typing speed of at least 40 words per minute.
