Prince Personnel are working with a rapidly growing business located in central Telford, who are looking for a Service Administrator to join their well-established team on a permanent basis. You will be working within the service department providing a critical and highly responsive after sales support service to customers. The main focus of this role is to plan a schedule of work for the Service Engineers and provide any necessary support to ensure the efficiency and effectiveness of the after sales service.
Responsibilities:
- Support the Service Manager to fulfil their duties and tasks
Managing Customer Calls/Orders
- Receive calls in from customers and raise enquiry on the system to generate a job number
- Liaise with customers and suppliers on a daily basis and resolve any queries or complaints.
- Ensure parts for particular job are in stock or order as necessary and carry out cost comparison from 3 suppliers and raise a purchase order.
- Raise both sales and purchase orders and deal with any queries/discrepancies
- Inform/agree with the Customer the cost for the works and of our preferred dates
Service Engineers
- Schedule the job as per the agreed dates on the service calendar
- Inform the relevant Service Engineers of the schedule and workload and print worksheets for Engineers (Include Address/Job Number/Brief description of works and parts
- Book in parts and received delivery notes
- Collect parts when delivered and put away ready for jobs and for Engineers to collect
- Make travel arrangements and book Hotels for the Service Engineers
- Create log and archive training certificates
- Organise shipments of machinery and parts and pack and pallet jobs for dispatch
Handling service report sheets
- Create purchase orders to re-order stock parts against any parts used
- Contact customer to arrange another visit
Skills, knowledge & experience required:
- Excellent communication skills
- Excellent organisation skill
- Good attention to detail
- A high standard of customer service
- Good level of IT literacy and be able to learn to use new software platforms or systems
- Ideally with experience in a similar role or environment manufacturing, service department.
- You ll be agile in your work approach dealing with multiple customer queries and demands whilst maintaining a professional approach and the ability to remain calm when working under pressure.
