Your new role
This Services & Operations Administrator role will be the primary administrator for the Bury St Edmunds office, with a wide range of duties. The role requires regular contact with customers, suppliers, internal staff, and external staff, including the various international offices. Key duties include but not limited to:
- Maintain customer communication after a sales order is received through to delivery, ensuring the customer is informed of any changes, including technical, delivery times etc.
- Support with stock control.
- Highlight and investigate any potential inventory issues, perform supplier audits.
- Ensure that any supplier issues are highlighted and handled.
- Provide direct support to customers requesting information on parts and delivery lead times.
- Assist in the organisation and maintain the equipment calibration process, including dealing with internal, external staff and suppliers.
- Quoting spares and service options to customers.
- Booking service items in and raising service reports; creating Salesforce cases and opportunities.
- Providing customer communication regarding in-house schedules and feedback to technicians.
- Raise purchase orders, both intercompany and external.
- Ensure that Job/Works Orders are raised in the accounting software package.
- Receive goods and equipment from Goods In, checking the goods to the delivery note.
- Receiving the goods onto the system and either putting them into stock or passing them to the appropriate personnel.
- Ensure shipments are packed correctly and raise the courier documentation (including DG by road and air) using the courier software package.
- Follow up any shipping import/export issues to resolution.
- Issue materials for job/works/sales orders.
- Acknowledging sales order delivery dates with customers/sales department and adjusting/communicating supplier's schedules accordingly.
- Entering time-sheets/expenses and completing EOM reporting
- Other duties as required.
What you'll need to succeed
To succeed in this, Services & Operations Administrator, you will need to be highly organised with the ability to process improvements and take accountability and ownership of your workload.
