The Sports and Partnerships Administrator is a new role at King’s which is designed to support these two important areas of school life. The successful candidate will be an efficient administrator with excellent communication skills. The post will involve working closely with all stakeholders within the King’s community, including parents and partnership schools. The successful candidate will also welcome visitors to the school on a regular basis.

Key Roles & Responsibilities

Sport:

  • Providing general administrative support for the day-to-day running of the Games/PE department
  • Developing new systems to streamline the organisation of the department 
  • Providing a positive welcome at the sports centre reception 
  • Providing email and diary management to the director of sport and the deputy director of sport, and other staff as required
  • Organising and attending departmental meetings and taking minutes
  • Organising the collection of Games options for pupils each term, inputting these onto the school database, and ensuring these are kept accurate and up to date
  • Providing assistance for the management of Games and off-Games registers, and assisting with the management of pupil absence from Games, and following up on absent pupils
  • Liaising with external facility providers and external coaches 
  • Booking coach transport and minibuses for Games sessions and fixtures 
  • Overseeing the provision of medical room and duty staff to support Games fixtures; and assisting with communications and follow up between Games and medical room staff regarding sports injuries
  • Administering and organising the booking and usage of sport facilities
  • Managing missed lesson requests
  • Managing catering requests 
  • Organising sports team official photographs
  • Ensuring effective communication between relevant parties in the event of cancellations, changes to fixtures and training details 
  • Organising sport scholarship assessment days, in collaboration with departmental staff and the Admissions department 
  • Supporting parental engagement, including the proof-reading and distribution of parental communications via SchoolPost, and arranging follow-up as required
  • Providing general administration in support of sports tours and educational visits 
  • Supporting administration relating to the update and circulation of sports-related risk assessments

Partnerships:

  • Assisting the director of partnerships and outreach in the administration of partnership work at King’s
  • Providing email and diary management for the director of partnerships and outreach 
  • Organising and attending departmental meetings, and taking minutes 
  • Overseeing lists of King’s pupils allocated to each community project 
  • Assisting with the management of pupil absence from Friday afternoon community projects, and following up on absent pupils
  • Administering the booking of rooms and staff contact details for partnership activities 
  • Booking and overseeing transport arrangements for Friday afternoon community projects, and other partnership activities 
  • Managing the database of partnership school contact details
  • Assisting in the meeting of visitors to the school
  • Compiling the annual community project choice booklet 
  • Overseeing photo permissions for visiting pupils and King’s pupils involved in partnership activities 
  • Assisting with the marketing of partnerships
  • Overseeing impact data for partnership projects
  • Liaising with other school departments such as estates, AV, catering and porters in the organisation of partnership events

Arts Festival:

  • Assisting the director of partnerships and outreach in the administration of the annual Arts Festival which  takes place in June. This will involve some evening work
  • Assisting in the arranging of pupil workshops for the Arts Festival
  • Assisting in booking public events for the Arts Festival
  • Liaising with other school departments such as estates, AV, catering and porters in the organisation of Arts Festival events

Other:

  • Carrying out any other duty as reasonably requested by the directors of sport and Partnerships & outreach

Person Specification

The successful candidate is likely to have:

  • experience of PA/administration work
  • strong interpersonal skills, excellent judgment and diplomacy when dealing with staff, parents and pupils
  • adaptability and flexibility, with the ability to prioritise effectively, manage a busy workload and work independently
  • a ‘can do’ attitude and a willingness to take on tasks that arise
  • calmness, proactivity and positivity under pressure
  • excellent organisational skills
  • confident, effective and assured communication skills, both in written and verbal form
  • ability to build strong relationships at all levels
  • excellent IT skills (including Microsoft 365 applications including Outlook, Word, Excel, PowerPoint and Forms)
  • great attention to detail and accuracy
