Job description

The Team leader will support the Operations Manager and Clinical Education Manager in the realisation of Medi 4’s Strategies, Vision, behaviours and Values, supporting the delivery of high-quality patient focussed care, in a safe and sustainable way, within the wider organisation.

The Team Leader will, under the direction of the OM, be responsible for the management of their designated team, will contribute to the provision of management, leadership, and direction for the team. The Team Leader will ensure that resources are used efficiently and effectively in response to service delivery needs and offer daily management and responsibility to ensure the delivery of the national standards and quality requirements.

The Team leader will be responsible to ensure their designated team achieve against key performance indicators agreed locally with service commissioners and contacted partners, working collaboratively with local with health partners, agreeing and delivering services that meet local needs.

The Team leader will be responsible to ensure that the immediate welfare of staff remains at the forefront of all of their daily service delivery, and as such will supply immediate support to the staff within the wider operational teams.

1* Duties, Accountabilities and Responsibilities: Operational*

As a Team Leader within Medi 4 Ambulance Services you will be required to provide leadership to your team to ensure the effective provision of the service they provide and to champion change in the organisation. You will ensure that your staff are motivated and express a positive attitude towards the company. You will address any issues and concerns that may inhibit your staff from achieving their personal and organisational goals.

9.1 Undertake operational shifts alone, or as part of an operational ambulance crew.

9.2 Responsible for the daily operations within their operational base within Medi 4 Ambulance Services.

9.3 Maintain a high level of compliance and quality through regular proactive auditing.

9.4 Ensuring all points below are adhered to and implemented accordingly in conjunction with all Medi 4 policies, procedures and protocols.

9.5 Direct line management of the Operations Teams within Medi 4.

9.6 Motivate, inspire and lead teams to perform to the Medi 4 visions and values.

9.7 Manage team issues locally with support from HR.

9.8 Monitor operations teams to ensure KPI’s & performance and standards are maintained.

9.9 To ensure contractual and ad hoc demands are met to all clients locally.

9.10 The post holder must provide the assurance to the clinical education manager that operational staff in their teams are clinically effective and compliant.

9.11 The post holder will also be accountable for all CPI’s within their teams.

9.12 Provide CPD support to their teams and monitor CPD portfolios.

9.13 Provide spot checks and audits on their teams to ensure staff clinical knowledge and skills are maintained.

9.14 Conduct 6 monthly clinical ride out assessments on all operational staff in their teams.

9.15 Conduct 6 monthly driving assessments on all operational staff in their teams.

9.16 Be seconded to education as required to teach on courses.

9.17 Provide action plans for operational staff who fall below the required clinical standards.

9.18 Ensure appropriate systems and processes are developed and in place to allow the organisation to effectively develop and implement a high performing operational and compliant service.

9.19 Will take responsibility for coaching and mentoring any staff member highlighted to ensure they are developed to the highest standard.

9.20 Proactively identify key factors affecting performance.

9.21 The post holder will clinically motivate their teams to ensure the peak of clinical performance

9.22 Provide accurate minimum data for operations to meet operational reporting requirements.

9.23 Responsible for assisting scheduling in monitoring staff hours & rostering on base.

9.24 Ensure that all correspondence and data received and processed in relation to Medi 4 activities conforms to current policies in relation to current general data protection regulations (GDPR) and medical confidentiality.

9.25 Maintain effective daily operational level communication with clients alongside the company Managers, ensuring that any matters of dissatisfaction are dealt with quickly and efficiently in line with Medi4 Policy & Procedure and that critical incident and near miss reporting is effective and robust.

9.26 Ensure the operations base follow accepted best practice in relation to good housekeeping and that matters of health and safety are reported. Conduct dynamic risk assessments passing them on as required.

9.27 Ensure that there is an effective system of operational inspection of vehicles and equipment within Medi 4, including operational cleaning and deficiency reporting thus meeting CQC criteria and compliance.

9.28 Ensure that operational staff, and location audits are undertaken in a timely manner

9.29 Act as the first point of contact for staff welfare and grievance and ensure that matters of concern are brought promptly to the attention of the OM.

9.30 Participate in the 24 hour on-call management rota, providing Bronze level management support and attendance when required to issues and incidents out of regular operating hours.

9.31 To take responsibility for all patient, hospital and client related issues, assisting the OM with communicating externally to other health care professionals including Private & NHS management for compliments & complaints received to Medi 4.

9.32 Responsible for ensuring all annual staff reviews\appraisals and subsequent interim reviews are completed for all staff employed to work within the operations base and will be responsible for overseeing the completion of all return-to-work interviews and effective escalation to informal and first formal stages in conjunction with the sickness absence policy in liaison with the OM.

9.33 Proactively identify key factors affecting performance and resource availability and ensure that these are actioned without delay e.g. delay in hospital turnaround times, excessive operational downtime, excessive demand or weather-related issues.

9.34 Be able to, (and be able to recognise the need to), modify and adapt methods of communication to account for the differing needs of staff members, especially in stressful and difficult situations.

9.35 Will be required to provide accurate information for management reports in regard to complaints; investigations; grievances and projects in conjunction with all Medi 4 policies up to first formal level.

9.36 Attend meetings on behalf of the operations department as and when required.

9.37 Responsible for maintaining own clinical grade and professional and personal development in conjunction with support from Medi 4.

9.38 Assist compliance to ensure all records – general, HR /personal correspondence – is kept up to date.

9.39 With scheduling, maintain effective staffing and shift coverage on the operational base.

9.40 With logistics maintain operational resilience of staff vehicles and equipment for the base

9.41 Answer queries in relation to base issues.

9.42 Work without direct supervision but seek guidance when appropriate, ensuring prompt escalation of issues/concerns to a senior manager.

9.43 Use own initiative and act independently.

9.44 Utilise, to maximum effect, telecommunications and IT equipment & systems.

9.45 To ensure that confidentiality is always maintained.

9.46 To maintain a tidy workplace, ensuring compliance with health and safety regulations.

9.47 Update SharePoint & other systems providing management information as and when required.

9.48 Attend departmental meetings outside normal duty shift time as and when required, balancing own work hours as needed in liaison with the OM.

9.49 Any other reasonable request by the company.

9.50 Post holder will have review and monitoring meetings as required.

9.51 Work will be autonomous but in conjunction with instructions from the Operations Manager (OM)

2* Special Conditions:*

The post holder must be prepared to travel to other company sites, to meet the requirements of the company for operational, training and business continuity purposes.

3* Work Complexity:*

The job requires flexibility of mind and personal organisation to determine priorities and handle multiple issues at a time.

4* Contacts:*

The post holder will liaise with staff and managers at all levels of the organisation, and with suppliers, clients, members of the public, patients & clients. Contact may be face-to-face but can be e mail or over the telephone.

5* Creative Work:*

5.1 The post holder may be expected to take part in meetings to ensure that they achieve their key performance indicators.

5.2 Inventions and intellectual property remain the property of the company not the employee.

6* Confidentiality:*

The post holder will regularly come into contact with confidential information about patients, staff and other Medi 4 business, in order to carry out the duties of the post. Confidentiality must be maintained at all times and any breach of this will be considered a dismissible offence.

7* Policies and Procedures:*

Ensure that at all times activities are conducted in accordance with the company Personnel Policies, Standing Orders and Financial Instructions.

8* Patient and Public Involvement:*

Medi 4 has a responsibility to ensure that patients and clients are consulted and involved in the development of its services. As a company employee you should be mindful of this and do what you can, as appropriate to your role and level of responsibility, to meet this duty.

9* Health and Safety at Work & Risk:*

Health and Safety: It is the general duty of every employee to take reasonable care for the Health and Safety of themselves and others including the use of necessary safety devices and protective clothing and co-operation with Medi 4 in meeting its responsibilities under the Health and Safety at Work legislation. The post holder must be aware of individual responsibilities under the Health and Safety at Work Act and identify and report, as necessary, any untoward accident, incident or potentially hazardous environment. It is Medi 4’s responsibility to ensure that staff are able to work in a safe and conducive working environment and that responsibilities regarding Health and Safety and staff welfare legislation and best practice are fulfilled throughout their area of responsibility, this will also include undertaking Risk Assessments as and when required.

9.1 Infection Control:

Infection Prevention and Control: Medi 4 Ambulance Service Ltd is committed to reducing the risk of healthcare associated infections. All employees involved directly or indirectly in the provision of healthcare have a duty to cooperate with Medi 4’s Infection Prevention and Control associated Policies and Procedures to reduce the risk of healthcare associated infections for patient’s staff and the public. You will be expected to cooperate with colleagues, contractors and other healthcare providers also involved in patient care directly or indirectly so far as is necessary to enable Medi 4 to meet its obligations under the Health and Social Care Act 2010

10Safety issues:

10.1 No Smoking or vaping in uniform in public or in vehicles

10.2 The Company clients operate a “No Smoking” Policy. Smoking is not permitted on client premises. The management team will ensure that this is enforced with all staff.

If your own conduct in relation to the safeguarding of children, young people or adults gives cause for concern, Medi 4’s agreed Protection Procedures will be followed, alongside implementation of the Disciplinary Procedure where appropriate.

12.2 The post holder must hold an in-date safeguarding qualification to the appropriate level for the job role.

13Confidentiality & Data Security:

The post holder must ensure that personal information for patients, members of staff and all other individuals is accurate, up to date, kept secure and confidential at all times in compliance with the General Data Protection Regulations (GDPR), the Caldicott principles and the common law duty of confidentiality. The post holder must be a continual upholder of the CALDICOTT principles and ensure their compliance.

14Development:

14.1 The post holder will be required to participate in relevant development activities and development reviews.

The post holder must be compliant with all required e learning, assessments, or update courses.
