About the Role:
We are seeking a dedicated and experienced Records Manager to join our public sector client. This pivotal role involves carrying out a variety of activities and projects to ensure the organisation meets its information governance objectives.
Key Responsibilities:
- Oversee the destruction of electronic legacy records.
- Review and recommend improvements to the shared internal network, including the deletion of records and network drives.
- Update and maintain the Information Asset Register.
- Collaborate with the Data Protection Officer (DPO) to update the Register of Processing Activities.
- Work with the DPO to arrange for the approval of the Retention and Disposal Schedule by PRONI and its submission to the Northern Ireland Assembly.
- Liaise with business units to maintain a central register of all physical files held on-site.
- Review and update records management procedures, ensuring staff are aware of their obligations.
- Develop practical procedures for the creation, retention, and destruction of records across the office.
- Provide advice and direction to the Senior Management Team and Information Governance Group, including the Senior Information Risk Owner and Information Asset Owners.
- Assist in responding to information requests as needed.
- Perform any other duties consistent with the nature and type of this role.
Qualifications and Experience:
Essential:
- Comprehensive understanding of information governance obligations arising from the Data Protection Act 2018, the Environmental Information Regulations 2004, and the Freedom of Information Act 2000.
- Proven responsibility for the practical implementation of information governance activities in a working environment.
- Knowledge of information technologies and data security.
- Experience in promoting a good records management and data protection culture within an organisation.
- Proven ability to work effectively as part of a team.
- Strong communication skills, with the ability to interact effectively with individuals at all levels, both within and outside the organisation.
Desirable:
- Practitioner-level qualification in GDPR.
- Practitioner-level qualification in Freedom of Information.
- Demonstrated ability to work effectively in a pressurised environment, where priorities and deadlines are subject to change.
