Lynx Recruitment are working with a waste management and aggregate and plant hire specialist based in Surrey to recruit for a Transport Admin Coordinator.
You’ll play a key operational role managing vehicle compliance, maintenance, parts supply and Transport Administration processes to support the Transport Manager. This hands-on, fast-paced position requires excellent organisation, attention to detail, and communication skills.
Main Responsibilities:
- Conduct daily vehicle inspections and report any defects, damage or non-compliance issues
- Schedule vehicles for routine maintenance and repairs based on mileage, hours, or time periods
- Liaise with internal technicians and external garages to ensure repairs and maintenance are completed promptly
- Maintain accurate records of vehicle service history, MOT tests, inspections etc. in compliance databases
- Monitor vehicle parts stock levels and reorder from suppliers when necessary
- Check in parts orders, verify contents, and coordinate put-away in organised parts store room
- Assist Transport Manager with vehicle procurement, registrations, licensing paperwork
- Prepare transport documentation for drivers including route plans, PODs, delivery notes
- Debrief drivers on issues, provide mentoring on compliance procedures
- Maintain tidy, safe office and parts storage areas in line with health and safety policies
- Provide administrative support to Transport Manager as required
Requirements:
- Experience in a Transport Administration role, ideally within logistics/supply chain sector
- Strong IT skills including Microsoft Office and transport management systems
- Excellent attention to detail and record-keeping abilities
- Strong organisational and time management skills
- Ability to multitask and work well under pressure
- Knowledge of transport regulations and compliance procedures
- Strong communication and teamwork skills
