Job description

One of our local authority clients are currently recruiting for an Admin Assistant. This is a temporary contract for 4 months with possible further extension based on budget and performance.

Main Purpose of Post/Job Summary

The ability to maintain administration support to senior managers and colleagues in the teams so as to deliver operational excellence across all of its activities, ensuring the delivery of a high quality, efficient and effective service.

This role is 30 hours per week.

Duties and Responsibilities

  • To regularly liaise with the Senior Business Support Officer / managers to understand the administrative requirement of the service, responding to changing needs, so as to deliver operational excellence.
  • To record accurate information from contacts, enquiries, referrals, and alerts, whatever the means of communication.
  • To take accurate safeguarding minutes and attend safeguarding planning meetings in the office and in the community.
  • To effectively administer the closure of cases, and raise service requests, liaising with agencies and family members. To send out copies of any written documentation including assessments, reviews, support plans, court documents and other relevant correspondence etc.
  • To maintain electronic records on the IT systems ensuring that accurate and appropriate information is available to Managers when required.
  • To be responsible for the accurate input of data onto databases including scanning. Assist in the extraction and reporting of information from both computerised and manual systems and provide data cleansing and support to the team to maintain accurate records.
  • Raise purchase orders for goods and services on the Council s IT system and order goods on the Council s purchasing/credit card and update the system.
  • To Ensure skills are developed to be able to appropriately use various IT software systems eg Tell us Once, Liquid Logic, TCES, EMIS, Rio etc.
  • Maintain a store of stationery, office, equipment, fire equipment, PPE etc.
  • Participate in individual and team supervision sessions.
