Your new role
HOURS OF WORK: Part-time position working 30 hours, Monday - Friday.
Some evening and weekend work will be required from time to time, including attending Board Meetings. Notice will be given for when this is required.
Key Responsibilities:
Email Management: Handle incoming and outgoing emails on behalf of the Chief Executive.Meeting Support: Assist the Chief Executive during multi-agency meetings by taking accurate minutes and distributing them.Tender and Funding Assistance: Aid the Chief Executive in preparing tenders and funding applications.Meeting Coordination: Arrange and facilitate meetings for the Senior Management and Operational Management teams, ensuring accurate minutes are recorded.Event Organisation: Organise staff away days and staff events.Board Reporting: Support the Chief Executive in completing Board reports.Board Meeting Facilitation: Arrange and facilitate Board meetings, collate necessary documents, and distribute minutes.Board Member Recruitment: Assist in recruiting Board Members and volunteers.Trustee Liaison: Act as the main point of contact for the Board of Trustees, coordinating events and activities as needed.HR Support: Handle HR processes across the organisation when the HR Manager is absent, as requested by the Chief Executive or Head of Operations.Marketing & Communications:Serve as the primary contact for all social media platforms, creating content to promote our work and raise awareness about domestic abuse.Maintain and update social media profiles on platforms like Facebook, Instagram, Twitter, and LinkedIn.Develop the organization's communication and marketing plan.Oversee the organization's website.Coordinate fundraising and awareness events in alignment with our events calendar.Represent the organisation at external events.Arrange external talks for the Board of Trustees.Design and manage marketing materials, including leaflets, posters, and business cards.Handle general inquiries via organizational email inboxes.Donations:Manage incoming donations, send acknowledgement letters, and handle donation-related requirements across all services.Maintain donation logs.Collect donations as appropriate, working closely with the Chief Executive and Head of Operations.Procurement:Assist the Finance Manager in purchasing items for staff and refuges.Place orders for all service areas, coordinating with the Head of Operations and Chief Executive.Monitoring:Assist the Chief Executive and Head of Operations in extracting reports for monitoring purposes.Collate information for the Chief Executive's Board Report and Contract Monitoring Reports.Extract data related to the organization's Communication and Marketing efforts (via our website and social media platforms) for monitoring purposes, including completing the Board Report.IT and Telecommunications:Order IT and telephony equipment for organisational use.Arranging for all new starters to the organisation to be issued with appropriate equipment; IT, phones and SkyGuard Organise and maintain the organisation's asset log for equipmentManagement of the SkyGuard online system, inputting new starters, updating current staff and removing ex-staff details What you need to do nowIf you're interested in this role, click 'apply now' to forward an up-to-date copy of your CV, or call us now.
