Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Administration Assistant. As the Administration Assistant, you will play a crucial role in supporting the Directors in various administrative tasks. This is an opportunity to work in a fast-paced and dynamic environment where your organizational skills and attention to detail will be highly valued.
Mostly working from home, but there may be the occasional requirement to travel to meet the Directors for face-to-face meetings.
Full training on all the systems/ software in use (Xero, Monday.com etc)
Responsibilities:
- Provide administrative support to the directors, including managing calendars, scheduling meetings, and making travel arrangements
- Client experience support – liaising with clients, scheduling and managing session dates/ times and thinking on your feet to keep the diary flowing.
- Answer phone calls and respond to emails on behalf of the directors
- Prepare and edit documents, presentations, and reports
- Carry out small updates to the company websites
- Conduct research and gather information as needed
- Assist with financial tasks, such as invoicing, expense tracking, and managing budgets
- Maintain office supplies and equipment inventory
- Perform general clerical duties, such as filing and data entry
- Perform any ad-hoc “event-driven” duties as and when appropriate – client gifts, researching locations and finding amazing spaces for client days.
Requirements:
- Proven experience in an administrative or office support role
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy
- Proficient in using O365
- Experience with WordPress for website updates
- Excellent phone etiquette and communication skills
- Ability to handle confidential information with discretion
- Strong clerical skills, including typing and data entry
