Calex UK are pleased to announce a new opportunity to recruit for an experienced Administrator to join the team at JLR. As Administration support, you’ll be working within the Systems & Data Transformation team alongside other Global Customer Care teams to provide assistance with administrative tasks, drive team engagement, support digital demand governance and help to streamline new & existing processes. You must be a self-starter, have loads of initiative and not feel daunted when attending senior management meetings.
Please note this is not a Business Analyst position. We are looking for an experience administrator, who is comfortable being part of and presenting in key meetings.
Key Responsibilities:
- Providing administrative support to project leadership and the wider team, including proofreading and editing documents, updating and maintaining databases and team sites, as well as contributing to and participating in ad hoc tasks/projects when requested.
- Driving engagement throughout the team by producing insightful communications (i.e., Reports, presentations & newsletters) through the collection of project-related and personal information, as well as by organising various team events (i.e., Sharefairs, off-sites, team meals).
- Owning new demand registered within the Systems & Data Transformation demand process. Additionally, partnering with key stakeholders, business leads, SMEs and project sponsors to understand their needs/requirements and deducing whether these align with our business goals, other in-flight/existing projects and assisting in the completion of the digital demand pre-discovery process (via the creation of business requirements documents, use cases, process diagrams as well as any additional supporting documents).
- Supporting project work related to Systems & Data Transformation demand or process improvement led by other Business Analysts when process support is required.
- Establishing positive and long-lasting working relationships across multiple functions to ensure collaborative approach in achieving desired improvement.
- Creating, justifying and submitting purchase orders on request.
- Arranging, creating the presentation for & presenting a monthly Retailer IT Forum. Includes liaising with product owners across Global Customer Care & the wider company to discuss upcoming and in-flight projects with the aim of increasing collaboration, reducing duplication & broadening our understanding of the wider JLR IT system landscape, ensuring that we are cross-functionally aligned with our end business goals.
- Standardising and creating documentation and new working procedures, as well as optimising existing processes.
About you:
- Strong IT skills with particular focus on the Microsoft Office Suite (PowerPoint, Word, Excel, SharePoint & Teams) and can consistently demonstrate high levels of accuracy and attention to detail.
- Strong interpersonal and leadership qualities, high standards of written and verbal communication skills as well as the ability to work in a fast-paced operational environment with multiple inputs & stakeholders, whilst remaining focused in terms of both deliverables and outcomes.
- Adaptable: Willing to learn new methods, processes and techniques as well as being able to shift priorities in response to the level of demand a situation requires.
- Process mapping and documentation experience (ARIS/LeanIX desirable).
- Analytical mindset: able to analyse and interpret data to drive decisions, conclusions and insights.
- Experience in process optimisation, re-engineering with great initiative to spot opportunities for improvement
Salary & Benefits: Up to £35,000 dependant on experience, 25 Days Annual Leave, plus Bank Holidays, Calex Employee Benefits Package (inc. High Street Discounts, Online GP, Welfare Scheme).
Workplace Location: You will need to be based in the Coventry / Warwick’s area as this role will require you to have a flexible approach to your workplace location depending on the business needs. Whilst Whitley will be the main office base you will need to be able to work out of any of the JLR offices in the West Midlands, at least 3 days a week (Gayden, Fenn End).
Pre-employment Checks: Calex will undertake the relevant/standard employment checks with any successful candidate. This includes contacting all nominated references, as well as checking candidate ID, driving licence (if appropriate) and right to work in the UK. Some roles may also be subject to further pre-employment checks (confirmation will be provided through the recruitment process). This nature if this role may necessitate that we undertake a DBS check. The successful candidate will be required to provide proof of the right to work in the UK.
