The Role
An exciting opportunity has arisen for an Administrative Assistant based in our Glasgow office reporting to the Facilities Supervisor.
This role will be working as part of a team to ensure that the departments mail, copying, files, etc are managed timeously.
You will be responsible for
- Processing of incoming / outgoing mail, copying, scanning, printing, filing and archiving
- Supporting and/or managing the preparation of bulk documentation, files, and bundles
- Using PDF Docs to put legal bundles together, paginating papers and reducing file sizes
- Providing reception cover and assisting with room set ups/clearing
- Monitoring stock levels of stationery items and ordering replacement stock as required
- Making hand deliveries and collections
- Coordinating matter closure and storage.
- Processing, retrieval, and management of documents in onsite and offsite storage.
- Managing electronic client records to facilitate record storage requirements.
- Assisting with Legal PA duties (including dictation, formatting and amending documents, raising invoices and completing Cashroom forms, etc)
- Assisting with ad-hoc departmental projects
- Working effectively and efficiently with other Facilities team members
- Managing office catering
What you will need to succeed
- Ideally candidates should have National 5 (or equivalent/demonstrable ability) in English
- Excellent IT skills, including advanced MS Office, particularly formatting in Word documents and Excel.
- Ability to coordinate multiple tasks and projects to meet deadlines
- Good communication skills to liaise and work well with all staff/partners
- Be able to work as part of a team and also use your own initiative
- A positive “can do” attitude to provide timely responses to all work requests
- A genuine desire to develop a career within a professional office
